We are looking for a proactive and detail-oriented Project Management Support professional to join the team. In this pivotal role, you will act as the right hand to the Project Manager (PM), taking ownership of the administrative and operational backbone that allows complex projects to run smoothly, on time, and within scope.

Responsibilities:

• Support the PM with project resource management
  o Enter and maintain resource plans in Service Now
  o On behalf of the PM review and approve time cards
  o Monitor resource utilisation and rebalance resource plans when required
  o Replan resources as directed by the PM

• Support the PM with project planning
  o Enter and maintain work breakdown structure in Service Now
  o Maintain task status (progress, completion)
  o Monitor schedule
  o Replan project schedule as directed by the PM

• Support the PM with risk management
  o Maintain risk log in Service Now
  o Review and update risk status
  o Monitor mitigating actions and follow-up on them

• Support the PM with project reporting
  o Collect input and prepare project status reports
  o Support preparation of project exception reports using Agency template
  o Support preparation of external project reports

• Monitor PM data quality indicators and implement/recommend actions to improve them

• Support the PM with procurement: enter Purchase Requests (PR) for procurement of material and services

• Maintain project documentation set
  o Reviewing and preparing project documents using Agency templates
  o Recording Minutes-of-Meetings

Essential Qualifications & Experience:

• Higher vocational training in a relevant discipline with 3 years post-related experience. Or a secondary educational qualification with 5 years post-related experience.

• Work experience in administrative and coordination functions in the area of project management.

• Experience in Project Management tools, preferably Service Now.

Desirable Experience and Education:

• A recognized formal Project Management qualification, such as PRINCE2 or PMP. The lack of formal qualifications can be compensated by the demonstration of expertise and experience in

  the domain
