Recruitment Coordinator (Poland)
We are looking for a Recruitment Operations Coordinator to act as the key link between clients, candidates, consultants, and internal teams. In this role, you will be responsible for coordinating the recruitment process, supporting consultants, managing client cooperations and candidate journey, and ensuring smooth and efficient service delivery. The focus is on recruitment coordination, client relationships, KPI monitoring, and prioritization, with HR operations serving as a supportive function.
Responsibilities:
- Serve as the main point of contact for existing clients, ensuring alignment on recruitment needs and smooth service delivery.
- Manage and coordinate the end-to-end recruitment lifecycle: requirements gathering, pipeline management, candidate submission, interview scheduling, and offer facilitation.
- Review and validate candidate profiles provided by recruiters, ensuring quality, accuracy, and alignment with client requirements before submission.
- Lead and facilitate weekly team meetings to prioritize tasks, allocate workload, and ensure performance goals are met.
- Monitor and analyze recruitment KPIs, preparing reports and recommending improvements.
- Provide support in HR-related processes such as onboarding, offboarding, and contract administration
- Conduct one-to-one meetings with employees and recruiters to identify challenges and provide support.
- Collaborate with leadership on recruitment strategies, ensuring both operational efficiency and long-term scalability.
- Ensure compliance with internal processes and applicable local labor regulations.
Requirements:
- Proven experience in IT recruitment coordination, with in-depth knowledge of IT roles and technical skill sets.
- Strong client-facing experience, with the ability to maintain long-term relationships and ensure satisfaction.
- Understanding of HR processes, including onboarding, offboarding, and contract administration.
- Excellent organisational and management skills with the ability to multitask, prioritize, and delegate.
- Proven ability to monitor and ensure the quality of candidate pipelines and submissions, making sure profiles fully meet client requirements.
- Analytical mindset with attention to detail and ability to monitor performance metrics (KPIs).
- Proficiency with spreadsheets and presentation tools (Excel/Google Sheets, PowerPoint/Google Slides)
- Proactive approach with the ability to anticipate challenges and propose solutions.
- Strong strategic thinking skills combined with hands-on execution.
- Excellent communication and interpersonal skills, able to build trust with clients and employees.
- Fluency in English (written and spoken).
- Based in Warsaw or within close proximity, with availability for occasional in-person client meetings.
Nice-to-have:
- Previous experience in IT recruitment agencies.
- Knowledge of Polish labor legislation and compliance requirements and legislation of other European countries.
- Additional language skills (Polish, Russian).
- Experience managing remote or distributed teams.
